Food & Vendor Contract

  1. Agreement Definition:

    This agreement is between the Craigsville Fall Festival (CFF) and the undersigned food/product vendor(Vendor/You/Yours). Food service operators will operate public food and beverage concessions under these contract guidelines as well as Product vendors. CFF approves Contractor listed and terms of this contract.

  2. Services Overview:

    The Craigsville Fall Festival is a public special event to be held September 17 - 19, 2026 in Craigsville, WV. The event will include a variety of family entertainment, attractions, food, music, and parades. CFF makes no warranties or guarantees; either expressed or implied as to the volume of business that a vendor may generate. CFF is not responsible for acts of God or others beyond its’ control.

  3. Set-Up Rules:

    Vendor check-in will be no earlier than 4:00 pm on Thursday September 17. One food vendor trailer per site will be allowed on the spot. Additional fees will be secured for stock trucks, ice makers, etc. and only be permitted if space is available. No vehicles will be permitted to enter the CFF Grounds while activities are scheduled. No exceptions!

  4. Hours of Operation:

    Event hours will be listed in the festival’s schedule of events. A copy will be provided to each vendor. All vendors will be expected to be fully operational for the entire scheduled event times.

  5. Tear Down Rules:

    You cannot take down your booth until the event is over. No vehicles may enter or leave the site and nothing can be removed until the crowd has left the area. You must be broken down and off the property by 08:00 am on Sunday September 20, 2026.

  6. Electrical Service:

    Electrical services are provided exclusively through the CFF. NO GENERATORS WILL BE ALLOWED. To obtain electrical service for your booth you must submit the electrical service request form with your application. The appropriate fee must be included with the application. Submit electrical needs with this contract.

  7. Space Assignments:

    Assignments are based on space availability, vendor needs, electrical requirements, type of food, and years of participation and potential duplication of food products. You will be assigned a specific booth location. You will not be allowed to move to a new location at any time without the approval of CFF. Roaming vendors or “hawking” is not allowed, violators will be asked to leave the event and your booth will be shut down. You must agree to occupy the space as assigned and remain open and staffed during event hours. You may not sublet or apportion your space to anyone else. There is no guarantee you will be assigned the same space as in previous years.

  8. Miscellaneous:

    No alcoholic beverages, drugs, weapons, or nuisance trinkets of novelty items can be sold.

    All vendors must comply with all state health codes and post such permits, including state business license. Vendors are responsible for all state taxes, license, and fees.

    No pets are permitted

    No drainage water will be permitted to be released on grounds. (Bring container with you, if not self-contained)

    Merchandise not deemed suitable for sale to youth or adults is prohibited. Festival board determination will be final and any item will be prohibited for sale.

  9. Insurance:

    All vendors, food and commercial must carry insurance to protect himself or herself and will hold the CFF harmless for any incidents or accidents, injury, or loss sustained as a result of the vendor’s equipment, food or goods, or personal actions. A certificate of insurance must be provided to the Craigsville Fall Festival prior to setup.

  10. Vendor Equipment:

    -Vendor must provide a picture of their setup (Trailer, Etc.), size, and menu -Electrical hookups will be provided (50 amp 110 volts max) to your trailer only (Stock Trucks are extra) -One water hookup per food vendor-waste water must be captured by vendor and properly disposed of according to health department codes

  11. Cancelation: Due to inclement weather or behavior of the vendor not deemed appropriate by the Board of Directors, will result in forfeit of any and all setup fees and rights to participate in the festival.

The Craigsville Fall Festival has the right to refuse the acceptance of any vendor.
